Job Description:
The Animal Shelter Assistant Manager plays a critical role in ensuring the effective and efficient operation of the animal shelter by supporting the daily operation, supervision, and administration of the animal shelter. Working alongside the Animal Shelter Manager, the Assistant Manager helps oversee both administrative and operational functions and serves as a key on-the-floor leader, translating policies and best practices into consistent daily execution. This position manages and supervises shelter employees, community service members, volunteers, and shelter visitors; coordinates daily operations; and ensures accurate recordkeeping. This role blends supervisory leadership, customer service, organizational oversight, and administrative support to promote humane animal care, efficient shelter operations, and positive staff and volunteer engagement.

1. Day to Day Operations
○ Oversee daily animal shelter operations, including animal care, facilities, staffing, and workflow.
○ Work with the Animal Shelter Manager and Office Administrator to ensure a well-organized, efficient, and professional work environment for both the employees and the community.
○ Serve as a primary contact when the Animal Shelter Manager is unavailable.
○ Assist with the development and maintenance of shelter policies, procedures, and documentation.
○ Support efficient operations by monitoring shelter capacity, animal flow, records, and supply needs.
○ Maintain accurate animal, medical, and outcome records using shelter management software and systems.
2. Supervision
○ Provide day-to-day supervision, guidance, and training support for staff, volunteers, fosters, and community service members.
○ Serve as the on-site lead in the absence of the Animal Shelter Manager.
○ Assist with recruitment, onboarding, scheduling, and support of volunteers, foster caregivers, and community service members.
3. Records, Data, and Systems Management
○ Maintain accurate and compliant records related to animal intake, outcomes, medical care, adoptions, fostering, and euthanasia.
○ Manage shelter databases and tracking systems, including Petstablished, Shelter Animals Count, and Google Workspace.
○ Ensure proper data entry, scanning, filing, and record retention.
4. Financial and Cash Handling Responsibilities
○ Assist with operational financial tracking.
○ Process transactions accurately, and follow all financial and internal control procedures.
○ Manage weekly deposits and maintain accurate financial records.
5. Intake and Outcome Process
○ Oversee and coordinate animal intake and outcome logistics to promote positive outcomes; review and approve/deny applications for adoptions and surrenders, schedule meet and greets, foster home visits, and surrenders.
6. Customer Service and Public Communication
○ Provide professional, compassionate customer service to visitors, adopters, volunteers, and community members.
○ Respond to phone, email, and in-person inquiries.
○ Assist with tours, public education, outreach, and social media posts.
7. Inventory and Supply Management
○ Monitor and maintain adequate shelter and office supplies.
○ Coordinate inventory control and ordering with shelter management.
Additional Duties
1. Veterinary Coordination
○ Schedule and transport animals to veterinary appointments as needed.
○ Ensure all required documentation accompanies animals to veterinary visits.
○ Accurately enter, scan, and file veterinary records and medical documentation.
2. Compliance, Reporting, and Events
○ Ensure operational compliance with local, state, and national regulations, policies, and standard operating procedures for as well as Animal Welfare best practices.
○ Ensure humane animal care practices are followed, including sanitation, disease prevention, enrichment, and population management.
○ Prepare and submit operational, statistical, and financial reports.
○ Assist with planning, promoting, and executing shelter events, outreach efforts, and fundraising activities.
3. Emergencies, After Hours, and Weekend Operations
○ Assist with emergency response, cruelty case intake coordination, and after-hours or weekend operations as assigned.
4. Perform related work and support for the Leadville Lake County Animal Shelter as required and assigned.
Supervision Exercised: Provides functional, day-to-day oversight and direction to shelter employees and community members while on-site, as assigned.
Independence of Action: Work is performed in accordance with legal requirements, standard practices and methods requiring initiative to complete recurring assignments independently and judgment to determine which of many methods are applicable in any given situation.

Strong written and verbal communication skills with the ability to effectively communicate and interact with all levels of the staff and the general public in a positive and cooperative manner.

Qualifications:
Minimum Education: A high school diploma and or an Associate's degree is preferred but is not required.
Language Skills: Ability to read, write, and speak English fluently. Ability to respond to employees,
customers, regulatory agencies or authorities, or members of the local community. Bi-lingual Spanish
speaking skills are preferred.

Specific vision abilities required by this position include close, distance, and the ability to adjust focus.

Compensation:
The Assistant Manager position is a full time position and requires a minimum of 36 office hours a week
including possible attendance at public meetings (including evenings). The pay range is $21 - 25 per hour.
