Job Description:

Patient Access Supervisor- Full-time day position with night and weekend coverage as needed, shift differential available

Requirements

  • High school diploma or GED equivalent
  • Associate's degree in Business Administration, Healthcare Administration, or related fields
  • One(1) year of experience in front desk clerical, scheduling, and customer service in a hospital or medical office environment is preferred
  • advanced knowledge of electronic medical records
  • Supervisory experience preferred
  • working knowledge of basic office equipment and office computer programs
  • excellent communication, verbal and written skills

  • Excellent customer service and interpersonal skills 

The Patient Access Supervisor oversees the day-to-day operations and flow of the registration department. The Patient Access Supervisor will be responsible for the monthly schedule, ensuring all points of entry in the hospital and ancillary areas are adequately staffed for all shifts, and working closely with the Director of Revenue Cycle to ensure smooth operations. The Patient Access Supervisor will be responsible for training new Patient Access Registrars, signing off competencies with new employees, and being a resource for all Patient Access Employees. The Patient Access Supervisor will promptly reassign all missing slips back to staff for corrections. The Patient Access Supervisor will attend meetings as needed. Any other duties as assigned.

Patient Access Registrar

  • Welcome and greet all patients and visitors, in person or over the phone.
  • This crucial role requires consistent, polite, and effective communication
  • Answer the phone while maintaining a polite, consistent phone manner using proper telephone etiquette, and direct calls to the appropriate department or staff.
  • Serve as the "Keeper of the Gates." No one should pass by the front desk without being greeted, asked to sign in on a Visitors Log (and out as they leave), or assisted with their needs.
  • Compile and complete medical charts, reports, and correspondence as needed.
  • Interview patients to complete insurance and privacy forms.
  • Complete the Medicare inpatient paperwork for inpatient Medicare patients.
  • Complete the admission packet for Swing patients.
  • Collect insurance co-pay payments and post amounts paid to patient accounts.
  • Register new patients and update existing patient demographics by collecting detailed patient information including personal and financial information.
  • Make self-pay collection calls on open balances. Train staff on collection techniques.
  • Communicate with the patient, clinical staff or other hospital employees regarding delays or other possible situations.
  • Respond to inquiries by patients, prospective patients, and visitors in a courteous manner, maintaining HIPAA guidelines.
  • Responsible for maintaining the waiting area to present a clean and organized space.
  • Keep the front registration desk and waiting room supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment.
  • Protect patient confidentiality by ensuring that protected health information is secured by not leaving it in plain sight and logging off the computer before leaving it unattended.
  • Maintain all department “on-call” lists.
  • Perform all other duties as assigned.
  • Sedentary work with prolonged periods of sitting and exerting up to 10 pounds of force.
